Putnam Special Services District Authority

Welcome.

The Putnam Special Services District is the geographical area formerly known as the “City of Putnam”, consisting of Putnam’s downtown business district and neighborhoods in the northwest corner of the town.  The Putnam Special Services District is governed by the Putnam Special Services District Authority, a five member elected board. This elected board has oversight of the Putnam Police Department and Putnam Fire Department.

 

All inhabitants dwelling within the territorial limits of the Putnam Special Services District, hereinafter called “the District” may hold and exercise all powers and privileges consistent with the provisions of the Putnam Special Services District Authority Charter.

The Putnam SSD Budget Workshop is held annually and covers all financial matters related to the Putnam Police Department, Putnam Fire Department and any/all other special service district concerns.

IMMEDIATE OPENING

Administrative Assistant & Accounting Clerk

The Town of Putnam Special Service District is presently seeking qualified applicants for a part-time position of Administrative Assistant & Accounting Clerk with the potential of moving to a full-time position.

The work week shall be Monday thru Friday and the daily hours are to be determined pending the applicants availability. Salary shall be determined pending weekly hours and availability. The part time position is expected to transition to a full time position with full benefits.

Responsibilities:

Administrative

  • Process all outgoing and incoming correspondence

  • Post and send out all notices of the Special Service District Authority meetings

  • Process all general ledger functions

  • Set up new fiscal year and prepare budget for the new fiscal year

  • Record the Tax Collectors' report of taxes being paid weekly and post to revenue accounts

  • Record and make deposits to bank for Police and other income collected

  • Reconcile all bank statements monthly

  • Prepare and mail estimates, billing cost for Fire Department Services to West Putnam Fire District after SSD Budget is approved by voters

Accounting Clerk

  • Any and all Human Resource Duties

  • Process payroll (weekly and quarterly) and bank deposits (weekly)

  • Process and Pay Accounts Payable (weekly)

  • File, Process, and Pay all Federal & State taxes and reports reports (quarterly and annual)

  • Mail yearly tax forms to employees and vendors (W-2 / 1099F / 1099M / 1099R)

  • Attend all Special Service District Authority monthly meetings, recording and transcribing meeting minutes

  • Any and all other task requiring the attention of the Special Service District including frequent communications with the Town of Putnam various staff employees

Requirements:

  • Minimum high school diploma or equivalent

  • Management, personnel, financial and administration practice experience

  • Strong computer skills, with basic knowledge of office equipment / technology

  • Knowledge of "Inter-fund Accounting"

  • Ability to effectively and tactfully interact with the SSD Clerk, Police and Fire Chiefs, department personnel and the general public
